Ozark Intelligence, LLC (“Ozark Intelligence,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what personal information we collect when you use our website, take our AI Readiness Assessment, subscribe to our newsletter, contact us, or engage us for consulting work: and how we use, share, retain, and protect it.

2. Information We Collect

Information you provide directly. We collect information you give us when you fill out a form, send an email, take an assessment, book a call, or engage our services. This may include:

  • Name, business email, company name, phone number, job title, and industry.
  • Answers to the AI Readiness Assessment questions and the score we calculate from them.
  • Message content from the contact form or email correspondence.
  • ROI Calculator inputs (hours, hourly rates, project budget). These stay in your browser and are not sent to us unless you contact us separately.
  • Information shared during discovery calls, workshops, or consulting engagements (workflows, systems, pain points, and during engagement, Client Data as defined in our Terms of Service).
  • Payment-related details for invoicing, such as billing contact, billing address, and tax identification number. We do not store full credit-card numbers; payments are handled by third-party processors.

Information collected automatically. When you visit the website, we or our service providers may automatically collect:

  • Standard log information: IP address, user agent, referring page, pages visited, time spent, and timestamps.
  • Cookies and similar technologies used for analytics, site performance, and security (see the Cookies section below).
  • Error and performance telemetry used to diagnose site issues.
  • Approximate location derived from IP address (city/region level).

3. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and deliver requested information (assessment results, proposals, follow-ups).
  • Schedule discovery calls, workshops, and consulting engagements.
  • Send our newsletter if you subscribed, and related emails you may opt out of.
  • Perform the consulting services you engage us for, including building, integrating, and supporting AI automations.
  • Invoice you and keep records for accounting, tax, and legal compliance.
  • Operate, secure, and improve the website and our services, including debugging, analytics, and abuse prevention.
  • Comply with legal obligations, enforce our Terms of Service, and protect our rights and the rights of others.

We do not sell your personal information, and we do not share it with third parties for their independent marketing purposes.

5. Third-Party Services We Use

We rely on a small set of reputable service providers to run the website and our operations. Each is bound by their own privacy terms and, where applicable, a data processing agreement with us. The categories we use are:

  • Website hosting, content delivery, and DNS.
  • CRM (HubSpot). Stores contact form submissions, deal records, and engagement history so we can respond to inquiries and manage the relationship.
  • Email marketing (MailerLite). Stores newsletter subscriber records and sends our newsletter.
  • Website analytics (Google Analytics 4, with IP anonymization enabled). Counts visits and tells us which content is useful.
  • Scheduling (Calendly). When the Calendly widget is available on our contact page, for booking discovery calls.
  • Operational services: business email, error monitoring, abuse prevention and rate limiting, and internal notifications. These process only the information needed to operate and secure the site.
  • AI model APIs: when used to power assistant features on the site or as part of a Client engagement.

During Client engagements we may use additional services listed in the applicable Statement of Work. We will tell Clients which third-party services an engagement relies on before we connect them to Client Data.

6. How We Share Your Information

We share personal information only in the following circumstances:

  • With service providers listed above, for the specific purposes listed, under written terms that restrict their use of the data.
  • For Client engagements, among the people reasonably needed to deliver the work, under confidentiality obligations.
  • To comply with legal obligations, respond to lawful requests from government authorities, or protect our rights, property, or safety.
  • In connection with a business transaction: for example, a merger, acquisition, or asset sale, subject to the buyer agreeing to protect the information consistently with this policy.

We never sell your personal information, and we do not share it with third parties for their independent marketing.

7. Data Retention

We keep personal information for as long as necessary to fulfill the purposes described in this policy and to meet legal, accounting, or reporting requirements.

  • Contact form submissions and CRM records: kept while the relationship is active and for up to seven years afterward, to comply with tax and professional-services recordkeeping norms.
  • Assessment responses: kept associated with your CRM record for up to three years, so we can reference prior answers if you re-engage.
  • Newsletter subscribers: kept until you unsubscribe, after which we retain a suppression record (email address only) to honor your opt-out.
  • Client Data during an engagement: handled under the applicable Statement of Work; typically returned or deleted within 30 days of engagement close unless retention is required for regulatory reasons.

8. Data Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. These include TLS encryption for all public website traffic, scoped access controls on our accounts, rate limiting on public endpoints, and monitoring for abnormal activity.

No security measures are perfect, and no method of transmission over the internet is 100% secure. If we become aware of a security incident affecting your personal information, we will notify you as required by applicable law.

9. Your Rights and Choices

Depending on where you live, you may have the following rights regarding the personal information we hold about you:

  • Access and portability: request a copy of the information we hold about you.
  • Correction: ask us to correct information that is inaccurate or incomplete.
  • Deletion: ask us to delete your information, subject to legal retention obligations.
  • Objection and restriction: ask us to stop or limit certain processing of your information.
  • Withdraw consent: withdraw consent at any time for processing based on consent.
  • Complaint: lodge a complaint with your local data protection authority.

To exercise any of these rights, email us at info@ozarkintelligence.com. We will respond within 30 days. We may need to verify your identity before acting on a request. You can also unsubscribe from our newsletter directly from the unsubscribe link in any newsletter email.

10. Cookies and Analytics

We use a small set of cookies and similar technologies on the website:

  • Strictly necessary: session state and security. These cannot be disabled without breaking parts of the site.
  • Analytics: Google Analytics 4, used to count visits and understand how the site is used. Google Analytics is configured with IP anonymization.
  • Third-party embeds: if our contact page loads the Calendly widget, Calendly may set its own cookies.

You can block or delete cookies through your browser settings. Blocking analytics cookies does not affect core site functionality.

11. HIPAA-Related Engagements

We are aware that healthcare engagements often involve Protected Health Information (PHI) under HIPAA. We do not handle PHI through the public website or the contact/assessment forms. If an engagement requires us to access PHI, we will sign a Business Associate Agreement (BAA) with the Client before any PHI is shared, ensure the AI tools involved are BAA-covered, and follow the safeguards described in the BAA and applicable HIPAA rules.

Healthcare prospects should avoid sending PHI through the website forms or email. Use a secure channel agreed in advance.

12. California Residents (CCPA / CPRA)

If you are a California resident, you have the right to know what personal information we collect, the categories of sources, the business purposes for collection, and the categories of third parties we share it with: all of which are described above. You also have the right to request access, deletion, correction, and to opt out of any “sale” or “sharing” of personal information as those terms are defined under California law.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. California residents may exercise their rights by contacting us at info@ozarkintelligence.com. We will not discriminate against you for exercising these rights.

13. International Data Transfers

Ozark Intelligence is based in the United States. If you access the website from outside the United States, your personal information may be transferred to, processed, and stored in the United States or other countries where our service providers operate. Where required by law, transfers rely on appropriate safeguards such as Standard Contractual Clauses.

14. Children’s Privacy

The website and our services are intended for business audiences and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us at info@ozarkintelligence.com and we will delete it.

15. Do Not Track

Browsers may send a “Do Not Track” signal, but there is no common industry standard for how to respond. We do not currently alter our behavior based on this signal. You can control tracking via your browser’s cookie and extension settings.

16. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the most recent revision. If changes are material, we will announce them on this page and, where we hold a current email address, by email. Continued use of the website after changes take effect means you accept the revised policy.
